Saint Technology, Inc. ("FreeSubtitles", "we", "us", or "our") operates freesubtitles.ai. This Privacy Policy describes how we collect, use, and share personal data when you use our website and services, and your rights regarding that data.

1. Data Controller

2. Data We Collect

We collect the following categories of personal data:

User content: The audio and video files you upload and the transcripts, translations, and subtitle files generated from them. To deliver the service we process this content using a small number of contracted infrastructure providers (listed in Section 4). We do not sell your content, share it for advertising, or allow it to be used to train AI models.
Contact and account data: Email address provided when you register or purchase credits.
Billing data: Payment card details are handled exclusively by Stripe, Inc. We store only a Stripe customer ID and a record of credit purchases — we never store raw card numbers or CVVs on our servers.
Usage data: Pages visited, features used, and transcription activity (collected via Matomo analytics, subject to your cookie consent).
Technical data: IP address, browser type, and operating system collected automatically in server logs.
API key: A randomly generated key stored in a browser cookie to authenticate your requests.

3. How We Use Your Data

To provide, operate, and improve the transcription service
To process credit purchases and send transaction receipts
To communicate with you about your account or support requests
To analyse aggregate usage and improve the product (analytics, consent-gated)
To comply with legal and regulatory obligations

Necessary cookies are set without consent as they are required for the service to function. Analytics cookies (Matomo) are only set after you explicitly click "Accept" on our cookie banner. You can withdraw consent at any time by clicking "Cookie Settings" in the page footer.

You can also set your browser to refuse all or some cookies, but note that necessary cookies are required for the service to work correctly.

6. Data Retention

Uploaded media (free): Automatically deleted 30 minutes after upload.
Transcripts (free): Automatically deleted 24 hours after they are generated.
Uploaded media (paid): Retained for up to one month, then deleted.
Transcript files (paid): Retained indefinitely until you delete them. You can also delete any item immediately after processing.
Account and email data: Retained while your account is active and for 2 years after account deletion, unless a longer period is required by law.
Payment records: Stripe retains payment data under their own retention policies. We retain a record of credit transactions for 7 years for tax and accounting purposes.
Server logs: Retained for 90 days, then deleted.
Analytics data: Retained for 13 months in our self-hosted Matomo instance, then automatically purged.

7. Data Security

We protect your data with industry-standard safeguards. All data is encrypted in transit (TLS) and at rest. Access to production systems is restricted to authorised personnel. We do not use your uploads, transcripts, or other content to train AI models, and we contract our infrastructure providers on terms that prohibit them from doing so with your content either.

8. Your Rights

Under applicable data protection law (including GDPR where it applies) you have the right to:

Access the personal data we hold about you
Correct inaccurate or incomplete data
Request deletion of your data ("right to be forgotten")
Object to or restrict certain types of processing
Data portability (receive your data in a structured, machine-readable format)
Withdraw consent at any time (where processing is based on consent)
Lodge a complaint with your local data protection supervisory authority

9. Children

Our services are not directed to children under 13. We do not knowingly collect personal data from children. If you believe we have inadvertently collected data from a child, please contact us and we will delete it promptly.

10. International Transfers

Our service is operated from the United States. If you access the service from the European Economic Area (EEA) or other regions with data transfer restrictions, your data may be transferred to and processed in the United States. We ensure appropriate safeguards are in place for any such transfers.

11. Changes to This Policy

We will post any changes to this page and update the "Last updated" date at the top. For material changes affecting your rights, we will notify registered users by email at least 14 days before the change takes effect.
